Artist Flow Standard Booking & Cancellation Terms

1. Application of These Terms
These terms apply to all bookings made through or with Artist Flow, whether confirmed via email, booking form, verbal agreement, or any other means. Confirmation of a booking — including a reply email, payment, or written acknowledgement — constitutes acceptance of these terms in full.
No booking is confirmed until Artist Flow has issued written confirmation. Verbal agreements are not binding until confirmed in writing.
2. Booking Confirmation
A booking is considered confirmed when Artist Flow issues a written confirmation to the client, referencing the agreed artist, date, venue, and fee. The client is responsible for ensuring all booking details are accurate at the time of confirmation and for notifying Artist Flow immediately of any required amendments.
3. Fees & Payment
The agreed performance fee is as stated in the booking confirmation. Unless otherwise agreed in writing, payment is due in full within 14 days of the invoice date. Artist Flow reserves the right to charge statutory interest on late payments in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
Where a deposit is agreed, it is non-refundable in all circumstances.
4. Cancellation Policy
All cancellations must be made in writing to Artist Flow. The following fees apply based on the number of days' notice given prior to the confirmed event date:
More than 7 days before the event — No charge 7 days or fewer before the event — 100% of the agreed performance fee
Where cancellation occurs within 7 days of the event, the full performance fee becomes immediately payable and Artist Flow will issue an invoice accordingly. Payment is due within 14 days of the invoice date.
Days are calculated as calendar days. The day of the event is counted as day zero.
5. Client Cancellation Procedure
To cancel a confirmed booking, the client must notify Artist Flow in writing via email. Cancellations are not valid until acknowledged in writing by Artist Flow. The date of Artist Flow's written acknowledgement shall determine the applicable cancellation fee.
6. Artist Flow Cancellation & Force Majeure
In the event that Artist Flow or the confirmed artist is required to cancel a booking due to circumstances beyond reasonable control — including but not limited to illness, injury, bereavement, severe weather, government restriction, or venue failure — Artist Flow will provide as much notice as practicable. In such cases, any fees paid by the client will be refunded in full. No further liability shall arise.
Artist Flow will make reasonable efforts to offer an alternative artist or rescheduled date where possible, though this cannot be guaranteed.
7. Liability
Artist Flow's liability in connection with any booking is limited to the total value of the agreed performance fee. Artist Flow accepts no liability for indirect, consequential, or incidental losses arising from a cancellation, postponement, or change of artist, including but not limited to venue costs, promotional spend, or third-party fees.
The client is responsible for ensuring that the venue and event comply with all applicable licensing, health and safety, and legal requirements.
8. Amendments to Confirmed Bookings
Any amendments to a confirmed booking — including changes to date, venue, set time, or fee — must be agreed in writing by both parties. Requests for amendment do not guarantee acceptance and do not constitute a cancellation unless explicitly stated.
9. Governing Law
These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from a booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.
